Please note that valid proof of certification must be provided when requested. If certification cannot be verified, any fees paid to Fitness Vacation Exchange for a teaching vacation may be forfeited and are non-refundable.

ADMINISTRATION FEE

Fitness Vacation Exchange charges an administration fee which covers the arrangement of your fitness vacation exchange, correspondence between resorts, finalizing of reservation dates, airport pickup coordination (with host resorts that offer this service), and general instructor support.

CHANGE FEE POLICY

• Fitness Vacation Exchange encourages INSTRUCTOR to choose travel dates and locations confidently. If INSTRUCTOR cannot travel or has to change dates, the INSTRUCTOR must contact Fitness Vacation Exchange so another instructor can be appointed.

• In the event that the INSTRUCTOR cancels the reservation within 45 days before the scheduled date of departure for your Fitness Vacation Exchange, no refund will be issued, and cancellation is not permitted. If cancelation occurs outside of the 45 days window from the date of your departure for your confirmed Fitness Vacation Exchange, a $200 Cancellation or Change Fee Policy will apply.

• INSTRUCTOR will incur a USD 200 change fee per week for any changes in resort or travel dates. Only one change will be permitted for each FVE booking.

CHANGES TO TRAVEL COMPANIONS

• Any modification to the listed travel companions associated with this reservation will incur a fee of $75 USD per change. This fee is non-refundable and applies to each request made to amend or substitute a travel companion, including but not limited to name changes and guest replacements. Payment of this fee is required at the time the request is made, and changes will only be processed once the fee has been received.

GIFT FUND FEE

Approved FVE instructors are also required to pay into a resort's gift fund. Please note that instructors may be asked to deliver gifts to the host resort for given partners.  

• Fitness Vacation Exchange has established a gift fund component as a gesture of appreciation to our participating host resort partners for hosting an FVE instructor at their resort. Each host resort is provided a weekly gift fund when hosting an FVE instructor, this fund may vary per resort and is notated within by clicking on the resort's tab on the FVE website. Each resort can utilize its collected gift funds for the purchase of items the resort may need to improve its guest experience.

• Gift items are resort-specific. At times, the gift items which the host resort has requested are difficult to find, or too expensive to purchase in the resort's home country. All gifts received are greatly appreciated by the host resort.

• Fitness Vacation Exchange will purchase all gifts requested by the host resort and ship them to the residence of the traveling instructor before their departure. Traveling instructors will receive information from FVE that specifies what gift items are being shipped to their residences. Instructors can open the package(s) shipped to their residence.

You will receive information about your fitness class schedule if made available to us prior to your departure.

It is important to note that your teaching schedule or class times may change,  we require you, the instructor to be flexible with the resort requests and needs. Always confirm your assigned teaching schedule upon your arrival at the resort with the entertainment staff member.

Most resorts require Saturday to Saturday travel. At times, a resort will request a shorter stay, or a travel/arrival day other than Saturday. This information will be listed within the resorts tab where you will find all travel date specifications.

Opportunities do exist to extend your stay, please contact Reservations@FitnessVacationExchange.com to discuss resort date extensions.

Yes, your fitness vacation exchange includes you and one (1) adult guest companion for no additional cost.

Some of our family-friendly resorts allow up to two (2) children, 12 and under per room for no additional charge.

FVE host resorts do not provide transportation services, although Fitness Vacation Exchange has partnered with a reputable and safe transportation company that offers discounted rates for our network of fitness instructors.

Fitness Vacation Exchange has created a platform for all approved FVE instructors to book their Fitness Vacation Exchange at the resort and week of their choice based on current availability.

2. Insert login information (Please use the same email that you used when submitting your application as your user I.D.)

3. Submit once you have submitted your FVE I.D. login information, a Fitness Vacation Exchange Team member will grant you access within the next 24 hours. You will be notified via email upon approval. Once approved, YOU ARE ABLE TO BOOK your Fitness Vacation Exchange online with us.

If you are selected as the FVE Instructor of the Month, you will receive a $200 travel credit as part of your prize. This credit can only be redeemed for an FVE teaching vacation and must be used within the same calendar year it was awarded. Be sure to plan ahead so you don’t miss out on using your reward!
